Privacy Policy

1. Information We Collect

We collect information you provide directly to us, including your name, email address, company name, and any data you enter into the platform related to windstorm inspection jobs, including property addresses, owner information, inspection records, and uploaded photographs. We also collect location data (GPS coordinates) embedded in photos uploaded to the platform via EXIF metadata, where present and permitted by your device settings.

2. How We Use Your Information

We use the information we collect to provide, maintain, and improve the WindStorm Tracker platform, process your transactions, send you technical notices and support messages, and respond to your comments and questions.

3. Third-Party Services

We use the following third-party services to operate WindStorm Tracker:

  • Stripe — payment processing. Your payment information is handled directly by Stripe and is not stored on our servers. Stripe's privacy policy applies to payment data.
  • Cloudflare R2 — secure cloud storage for uploaded photos and documents. Data is stored on US-based servers.
  • Anthropic — AI processing for the Windy assistant feature. Job context provided to Windy is processed by Anthropic's API. Anthropic does not use this data to train its models.
  • Postmark — transactional email delivery for account verification and notifications.
  • MongoDB Atlas — database hosting on US-based servers.

Each service is bound by its own privacy policy and data processing agreements.

4. Data Security

We take reasonable measures to help protect your personal information from loss, theft, misuse, and unauthorized access. All data is encrypted in transit (TLS) and at rest. Data is stored on US-based servers. Each organization's data is logically isolated from other organizations. Access within your organization is governed by role-based permissions controlled by your account administrator.

5. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription, your account is placed in read-only mode and your data is retained for 90 days before permanent deletion. During this period you may request a full export of your data by contacting support@windstormtracker.com. After 90 days, all account data — including jobs, photos, and uploaded documents — is permanently deleted and cannot be recovered.

Accounts that remain inactive (no login) for 12 consecutive months may be flagged for deletion. We will send a reminder to your registered email address at least 30 days before any deletion occurs.

6. Cookies & Analytics

WindStorm Tracker uses essential cookies only — specifically, session cookies required for authentication and keeping you logged in. We do not use third-party analytics, tracking pixels, or advertising cookies. No data is shared with ad networks.

7. Your Rights

Under the Texas Data Privacy and Security Act (TDPSA), Texas residents have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate personal data
  • Delete your personal data
  • Obtain a copy of your data in a portable format
  • Opt out of the sale of personal data (we do not sell your data)

To exercise any of these rights, contact us at support@windstormtracker.com. We will respond to verified requests within 45 days.

We do not discriminate against users who exercise their privacy rights.

8. Age Restriction

WindStorm Tracker is a professional tool designed for licensed inspectors and their teams. The service is not directed at individuals under 18 years of age, and we do not knowingly collect personal information from anyone under 18. If we become aware that we have collected data from someone under 18, we will delete it promptly.
